ActiveSync problem with Inbox

No matter what I do ActiveSync (4.0 and 3.8) does not sync inbox from Outlook 2003. HP IPAQ 6340 on MSI pentium4 machine, running WinXP ser2. If I remove the PDA from cradle and select options from ActiveSync then the inbox is ticked and under settings the folders I need are ticked, but as soon as the PDA is in the cradle the inbox option is not available and there are no tickbox next to it under options. Please help as there are two of us at work that have the same problem.
